Short Answer: Go with the Synology DS925+

Here's why:

For Your 5 Requirements:

Remote access - Both can do this, but Synology's QuickConnect makes it dead simple. No port forwarding knowledge needed.

Link sharing without accounts - This is where Synology shines. Their File Station lets you create share links exactly like Google Drive. UGreen's UGOS Pro is improving, but it's not as polished yet for this workflow.

iPhone backup - Synology Photos has excellent iOS integration with automatic upload. Works brilliantly. UGreen can do this too, but the app experience isn't as refined.

Client data security - Synology has mature encryption, 2FA, and granular permissions. They've been doing this for 15+ years. UGreen is newer to the enterprise security game.

Plex/Jellyfin for training videos - YES, absolutely possible! Both NAS can run these. However, Synology also has Video Station as a native alternative that might be simpler for your team access needs.

The Reality Check:

The DXP4800 Plus has better hardware specs and costs less - that's tempting. But for someone without IT experience, Synology's DSM operating system is significantly more user-friendly. Their documentation, community support, and mobile apps are years ahead.

UGreen is great value and improving fast, but you'll hit more "how do I do this?" moments. With your workflow (team sharing, client data, remote access), you want something that just works.

My Recommendation: DS925+ with 2x 4TB drives in RAID 1 to start (mirrored for protection). You can add more drives as you grow.
